How do you run a logistics company with over 400 drivers and 180 tankers across the UK and Ireland — using only manual, paper-based processes? The answer, as Reynolds Logistics found, is with a great deal of inefficiency.
"Reynolds has struggled with the amount of paperwork going through the business. The challenge has been having complete and accurate information available for management and payroll functions,” said Fergal O'Beirne, Chief Financial Officer at Reynolds Group.
Bartosz Bulawa, IT Manager, explained the impact of this: "Processing a huge amount of paperwork meant there was plenty of room for mistakes — through lost forms, misinterpreted handwriting, or simple human error — and any problems in payroll or invoicing ultimately meant we could never be sure that we had invoiced the customer correctly or paid a driver the right amount."
Reynolds Logistics turned to Samsara’s Driver App and its digital timesheet entry feature to reduce the administrative burden on its staff by 100 hours per month.
O’Beirne is clear on the impact this has had: "It has transformed our payroll process. The long hours and wasted resources we had in place to manually input timesheets have become a lot easier to deal with — and drivers have been very responsive, which led to a rollout period that was faster than we expected.”
In addition, the team made use of enhanced vehicle telematics for real-time fleet visibility and the Samsara safety dashboard to empower better driver coaching. Integrated tachograph data also further automated processes, driving an 85% reduction in queries and errors across the business.
With the support of Samsara, Reynolds Logistics streamlined business operations, saving around £250,000 a year in administrative budget. The company also gained a level of oversight that was previously unattainable. Any issues, errors, or inconsistencies can now be identified and addressed swiftly, without navigating multiple systems.
